Events change. Guest numbers go up and down. So before we hold a single room, we agree four things with you in writing.

The final guest list date
When we need final names and numbers.
The guest payment deadline
If guests pay for their own rooms, the date they must pay by. Unpaid rooms are released after it.
The release date
When unused rooms go back to the hotel, so you only pay for rooms you need.

How early should we book?
As soon as you have a date and venue. December and busy weekends fill quickly, especially near popular venues.
Can guests pay for their own rooms?
Yes. Each guest pays us directly and gets their own confirmation. You can also cover some guests and not others.
What if fewer guests come?
Rooms released by the agreed date cost you nothing. After that date, the hotel's terms apply, which we show you before you commit.
Can everyone stay in one hotel?
Where the hotel has space, yes. For larger groups we use several hotels close to each other and to the venue.
Is it cheaper than booking the hotels ourselves?
Our rates are at or below each hotel's own rate, and you deal with one contact instead of several front desks.
