This policy explains what personal information Monest Signature Ltd collects when you contact us or use this website, why we collect it, how long we keep it, and the rights you have. We handle your information in line with the Nigeria Data Protection Act 2023.

1. Who we are

Monest Signature Ltd (CAC RC [number]) manages hotel accommodation for companies, groups and visitors in Lagos. In this policy, "we", "us" and "our" mean Monest Signature Ltd. We are the data controller for the information described here.

2. What information we collect

When you send an enquiry through this website or by WhatsApp or email, we collect the details you give us. Depending on the form, this can include:

  • your name;
  • your WhatsApp number;
  • your email address, where you provide it;
  • your company name, for company accounts;
  • the details of your request, such as the area in Lagos, the dates, the number of rooms or guests, the type of stay or event, and any message you add.

When you visit the website, our session system records your IP address and browser information. It also keeps temporary form information so that we can show validation errors and confirm a submission. Hosting and security logs may record requests and errors. When you submit a form, we record the page you sent it from, any campaign tags in the web address (UTM parameters), and the date and time.

Your enquiry is saved in our enquiry database and included in a notification to our team. If you continue on WhatsApp or email, we use those messages to arrange and manage your booking. In a development environment, notification emails may be written to restricted application logs instead of sent.

We do not ask for card or bank details through this website, and we do not take payment on the site.

3. Why we use your information

We use your information to:

  • reply to your enquiry and send you options and a total;
  • arrange and manage your accommodation with the hotel;
  • arrange any extras you ask for, such as airport pickup or a driver;
  • send you a confirmation, invoice and receipt;
  • keep in touch about your stay and deal with any problem;
  • keep proper business records.

Under the Nigeria Data Protection Act 2023, we rely on taking steps at your request before a contract, or performing a contract with you, to answer enquiries and arrange your stay and requested extras. We rely on legal obligations for records we are required by law to keep. We rely on our legitimate interests in securing the website, preventing abuse and resolving complaints, taking account of your rights and interests.

Sending an enquiry is not consent to marketing. If we want to use your information for an optional purpose that requires consent, we explain that purpose and ask separately. You can withdraw that consent at any time. We do not use your information for automated decisions that have legal or similarly significant effects on you.

4. Who we share it with

To arrange your stay, we share the details a hotel needs to hold your reservation, such as your name and dates. We share information with drivers or transport providers only when you ask us to arrange transport.

Hosting and email providers process information to deliver their services. Where a provider processes information on our behalf, we require it to follow our instructions and protect that information. Hotels, transport providers and messaging platforms such as WhatsApp may also act as separate data controllers for their own services, under their own privacy notices. We may disclose information where the law requires it.

We do not sell your personal information, and we do not share it for anyone else's marketing.

5. How long we keep it

Website enquiry submissions become due for deletion 180 days after submission, which is about six months, and are removed from the enquiry database by our daily cleanup. This applies to the submitted form details, source page and campaign tags.

A booking may require separate booking, payment and accounting records. Before collecting additional booking information, we explain the retention periods that apply. Records required by law, or needed for a justified legal claim, are retained for that purpose and deleted or anonymised when the requirement ends.

Deleting a website enquiry does not automatically delete its copies in email, WhatsApp, logs or backups. Those copies must also be reviewed and removed when no longer needed for the purposes above. Session cookies expire after 120 minutes of inactivity; expired server sessions are removed during routine cleanup. You can contact us to request deletion where the law allows.

6. Where it is stored and how we protect it

Your information is stored on our systems and with the providers described above. Depending on the service, including WhatsApp, information may be processed outside Nigeria. International transfers must have a lawful basis under the Nigeria Data Protection Act 2023, such as adequate protection, appropriate safeguards or an applicable legal exception. You can ask us which providers and countries apply to your information and what transfer protections are used.

We limit access to people who need the information to handle your enquiry or booking and use technical and organisational measures to protect it. No internet service can guarantee complete security.

7. Your rights

Under the Nigeria Data Protection Act 2023 you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information, where the law allows;
  • object to or ask us to limit how we use your information;
  • ask for your information in a portable format, where that right applies;
  • withdraw your consent at any time, without affecting anything done before you withdrew it.

To use any of these rights, message us at [hello@monestsignature.com]. We may need to verify your identity before releasing information or acting on a request. If you are not satisfied with our response, you can complain to the Nigeria Data Protection Commission.

8. Cookies

Monest Signature Ltd uses essential session and form-security cookies. They keep your session working, protect forms against forged submissions and allow us to show submission results. They expire after 120 minutes of inactivity.

We do not currently load analytics or advertising tools or use cookies for those purposes. You can delete or block cookies in your browser settings, although the enquiry forms may then stop working. You can still contact us by WhatsApp or email. If we introduce optional tracking, we will explain it and provide any consent controls required before it runs.

9. Fraud warning

We take payment only by bank transfer to an account named Monest Signature Ltd. We will never ask you to pay a personal account, and we will never change our bank details by message. If anyone asks you to pay anything else in our name, do not pay, and message us to check first.

10. Changes to this policy

We may update this policy from time to time. When we do, we will change the date at the top of this page.
